Frequently asked questions
How should a freelancer invoice a client?
List your billable hours or a flat project fee, add any revisions or extras, and set clear payment terms (most freelancers use Net 14). Include your name, the client, a unique invoice number, and the date. This tool pre-fills a freelancer layout so you just edit the numbers and download a PDF.
Do freelancers need to charge tax on invoices?
It depends on your country and whether you're registered for sales tax/VAT/GST. If you are, add your rate in the Tax field and it's applied automatically. If you're not registered, leave it at 0. This isn't tax advice, so check your local rules.
What payment terms should freelancers use?
Net 14 is common for freelancers because it gets you paid faster than Net 30. Stating a late fee (e.g. 2% per month) and asking for a deposit on larger jobs both improve on-time payment.
Should freelancers ask for a deposit?
On anything beyond a small job, yes. A 25 to 50 percent deposit before you start protects you from the two situations freelancers most often get burned by: a client who disappears midway, and a project that expands while payment stays at the end. It also filters out clients who were never really in a position to pay. Raise it when you send the quote rather than after the client accepts, because a deposit that appears late reads as a change of terms while one that was always part of the quote reads as standard practice. Most clients agree without hesitation when it is framed as normal.
How do I invoice for a fixed-price project?
Split it rather than billing the whole amount at the end. A common structure is 50 percent on acceptance and 50 percent on delivery, or for longer projects a deposit plus payments tied to milestones. Tie milestones to visible deliverables rather than calendar dates, so both sides can see plainly whether a stage is complete without having to agree whose fault a delay was. On the invoice, list the milestone reached and show any deposit already received as a line, so the outstanding balance is unambiguous and the client has nothing to query.
What should I do about scope creep?
Handle it in writing before you do the work, not on the final invoice. Most freelance payment disputes are not about the original price at all, they are about extra work that was added informally and never agreed. A short message is enough: confirm what is being added, the additional cost, and the new total, then wait for a reply before proceeding. Keep that reply. Adding unagreed line items to a final invoice is where relationships break down, because the client experiences it as a surprise bill rather than a service they asked for and approved.
Do I need a contract as well as an invoice?
An invoice records what is owed; it does not establish what was agreed. Even a short email that the client replies yes to covers the essentials: scope, price, timeline, payment terms, and what happens if the work changes. That single exchange resolves most disputes before they can start and costs you nothing. For larger engagements a proper contract is worth the effort, particularly around ownership of the work and what happens if the project is canceled partway. Freelancers who skip this usually get away with it until the one client where they do not.
